Position Summary

The Administrative Assistant for our Professional Services team plays a important role in the customer journey and initial onboarding process. This role involves collaboration with internal and external teams on behalf of Professional Services in the journey to staffing Customer projects. You will assist the Professional Services leadership team in comprehending client demand for Netgain product implementations and you will help our clients prepare for the implementation of our software products. This role uses a blend of exceptional administrative skills and strong interpersonal skills. Your research, data entry, and time-management skills will be important as you track and manage project data and respond to client email inquiries, ensuring a positive experience for our clients. This position may involve contributing to special projects and customer initiatives, as needed. Success in this role will come from your ability to efficiently and accurately document client needs and effectively engage with both external and internal stakeholders. You will track and manage multiple project requests simultaneously while maintaining high stakeholder satisfaction. Bring your passion and commitment to excellence!

Primary Job Responsibilities

  • Professional Services Administrative Support: Support the administrative tracking process for new client projects from the initial implementation welcome letter, through information gathering and data validation, to internal data presentation and external client email communication.  
  • Documentation: Develop, track and maintain accurate database information used to determine implementation scheduling and staffing decisions. Aid leadership     in the development/updating of process documentation and professional services metrics.
  • Stakeholder Communication: Serve as one of the primary points of contact for clients during the initial implementation welcome and staffing/resourcing phase.  Communicate project staffing/resourcing needs internally and status externally, address concerns on either side, and elevate when necessary.
  • Cross-Functional Collaboration: Collaborate with internal teams, including Sales and Professional Services, to ensure all client project information is organized, accurate, and validated to inform sound and timely resourcing decisions.
  • Risk Management: Identify potential risks or challenges during the initial customer onboarding process and respond, resolve or elevate as necessary.
  • Minimal travel expected (<10%)

Skills and Qualifications

  • At least three years of prior professional-level administrative experience in an operations, software, engineering or related environment
  • Excellent organizational and time-management skills are required
  • Exceptional attention to detailed accuracy and the ability to effectively prioritize tasks
  • Strong interpersonal skills and team-oriented mindset
  • Minimum of associate’s degree; Accounting/Bookkeeping or IT experience is a plus
  • Proficiency in Microsoft Office Suite
  • Prior experience managing client onboarding/intake is preferred
  • Familiarity with NetSuite and/or Smartsheet is advantageous
  • Experience working with remote teams is a plus
